Type a 5-digit zip code into the Project Info section. The app will automatically connect to the GSA API and pull the maximum lodging rate for the year and the exact food per diem for that city.
Use the Unburdened Base Rate toggle if your techs bill travel time at straight time (1.0x). Load/Unload time is always calculated using their fully burdened Base Rate. Use the Cargo section to track freight and trailer rentals.
The Cost Summary separates travel costs from labor costs. The buffer for overages only applies to travel costs (per diem, logistics, vehicles, airfare). Labor costs are kept separate and converted into equivalent Preparation hours using the Preparation Rate.
Enter a Preparation Rate ($/hr) manually or let it auto-fill from Jetbuilt when the Jetbuilt toggle is enabled. The app divides total travel labor cost by this rate to calculate Equivalent Preparation Hours, rounded up to the nearest quarter hour. These hours can be added to the Preparation labor line in your Jetbuilt proposal.
Everything you enter is saved directly into the page URL. To save an estimate, click Copy URL and paste the link wherever you track projects. Anyone who opens that link will see exactly what you entered.
If you adjust the defaults (like your preferred Buffers or Preparation Rate), click Save Current as Defaults at the bottom of the page.
Each estimate side (Driving and Flying) has its own Round Trip checkbox. For Driving, it doubles RT/OT travel labor hours and site-to-site mileage. For Flying, it doubles RT/OT travel labor hours, airfare, and baggage/misc fees, and changes airport parking to Rate x People x Total Days. Load/Unload and Pack/Prep hours are never doubled since those are one-time costs.
The Total Labor/Person field shows the combined labor cost for a single technician (RT + OT + Load/Prep). The Cost Summary then multiplies this by Total People to produce the Labor for Travel line item.
